Recreation Commission Meeting
April 16, 2015


Called to order at 7:34am

Roll Call – Kirsten Lucas, Georgia Bergan, Loretta Davis, Mary Teufel, David Nichols, Bill Puthoff, and Kevin Ralston. Greg McCart is absent.

Recognition of Visitors – Kim Pielage, Program Supervisor

Approval of Minutes (March) - Motion to approve the minutes made by Loretta Davis; seconded by Mary Teufel. Motion approved.

Additions to the Agenda: none

I. New Business
a. Kim Pielage, Program Supervisor
  • Last Fall Kim transitioned to be our Adult Programs coordinator; prior to that she over saw Phi Lambda Pi, Children’s Programs, and Family Special Event programs. She remains involved with these programs; but has stepped back from the day-to-day responsibilities of running them. The day-to day responsibility falls to Adam Knight whom Kim supervises.
  • Kim has thoroughly enjoyed meeting, and working, with our adult population; and the adults have enjoyed working with Kim. She looks forward to adding new programs for the 40-65 Evendale population. The coffee house events are a good start.
  • Kim has been slowly updating the Evendale Room, making the room more inviting for all age groups to enjoy.
  • Loretta suggested a poetry night; where people can share their own poetry, or enjoy hearing the poetry of others. (As poetry is an art, Kim has passed this suggestion onto the Cultural Arts Center Director as a potential cultural event for them.)
  • Kim is also working on the schedule for the Founders’ Pavilion this season. On May 16th, Evendale resident Matt Schneider will open the season with his band. Oh La La returns for another season June 13th;  the Cincinnati Symphony Orchestra (CSO) Quartet comes here July 25th; a movie will be presented Friday, August 7th; and 2ND Wind will give us a jazzed-filled evening on August. 22nd. Food will be available for purchase at each event. The CSO event is in coordination with the Evendale Cultural Arts Center. The CAC will host a 21 & Over reception in the Flex Room before the concert (tickets required for this portion). Kim and the CAC are working together to avoid time, similar programming, etc. conflicts.
b. Form Policy subcommittee
  • Mary Teufel, Greg McCart (by absence), and Loretta Davis agreed to meet with David Nichols to review the policy guideline manual. David will email everyone about meeting late April or early May.
  • David is considering adding a policy regarding the flying of drones on village grounds.
II.    Old Business
a.  Lifestyle Essentials’ Monthly report - as noted in the packet
b. WeTHRIVE! – Community Action Plan
  • The target dates suggested seem to be realistic. There will be further discussion next month.
  • HAMCO Regional Panning Commission Award: The process began in 2002 with the department’s Five Year Master Plan which included a Bike and Pedestrian Pathway component. Those plans, the hard work of many people, and the Recreation Commission, led to the award, and hopefully to grants/monies to develop leisure trails.
c. Start “wish” list for FY2016 budget
  • Replacing the nautilus Nitro machines.
  • Replacing the department’s large (1998 Ford) van.
  • Obtain grant monies to develop the Millcreek pathway.
  • Phi Lambda Pi would like the two tables in the teen room to be replaced. The current ones wobble and seem to be bent.
  • Can we add a permanent pitching mound to one of the baseball diamonds? (This could be problematic because of the versatility of our ages, users, and programs.)
III. Director’s Report
a. Open-Air Shelter
  • Rental process is underway for the new shelter. However, there is work that needs to be completed. First rental is currently scheduled for Saturday, May 30th.
b. Reader/road sign(s) update
  • According to the village engineer, the RFPs will go out “real soon.” Bill Puthoff will follow up at the next council committee meeting.
c. Outdoor Hot Tub
  • The outdoor spa construction project is progressing nicely. The spa was dug out, the floor and walls of a crawl space were poured, and the support steel has been replaced. The tub has been put back in place and SwimSafe staff is working on replacing the plumbing. SwimSafe and Bill Mechley, from the Village Service Department, will be working on the electrical portion,  tomorrow. Once the plumbing and electrical portions are completed, the concrete decking will be poured. We want to apply a special coating around the metal top of the spa.
  • The spa will be ready to use on opening day of the pool season.
d. Room Request for a Fundraiser
  • A resident has reserved the flex room for a fundraiser on Saturday, May 23rd. The resident requests the department, and commission, grant an exemption to the gym use policy and allow her to move the event into the gymnasium. There will be a live band, dance area, and a crowd attending.
  • Commission approved the use of the Multipurpose Room.
IV. Phi Lambda Pi Report
  • In March the first Phi Wednesday night cancellation occurred because of snow. First time that anyone could remember that happening.
  • Other Wednesdays included a cornhole tournament and a St. Patrick’s Day All Things Green party.
  • Eleven Phi members volunteered at the department’s Egg-Stravaganza event; and six members volunteered at Evendale School’s Fun Fest. The group plans to volunteer at the Griffin Preserve clean-up May 2nd.
  • The annual Award’s Night program takes place Friday evening. Many kids are coming to the dinner but are not attending the overnight portion because of ACT testing Saturday morning.
V. Open Discussion
  • Loretta suggested the department prepare a hand out for people who come in and inquire about renting facilities (what facilities are available, cost, procedures, etc.)
  • Tennis court #2 has a large crack. David will investigate.
  • Can the radio volume in the fitness center be increased? David and Loretta will meet there the next time she comes in to work out.
  • The walking “track” around soccer field #4 needs to been replaced. It has an unsafe surface with many trip hazards along the route. David will pass this onto the service department.
  • Compliments again to the department on another great Egg-Stravaganza event.

VI. Motion to Adjourn was made at 8:35am by Mary Teufel; seconded by Kevin Ralston.
